When onsite is the right call

Some collections should never be shipped.

Too large or numerous to ship

Collections of hundreds to hundreds of thousands of works — paintings, negatives, documents, artifacts — where crating and transit are impractical or cost-prohibitive.

Too fragile or valuable to move

Irreplaceable originals, sensitive media, or works whose insurance or conservation terms forbid transit. We image them where they live.

Must stay on the premises

Materials that cannot leave a museum, government archive, or private collection for security, loan, or provenance reasons.

Phase One IQ4 and, where the project warrants, Cruse synchronized-light capture — set up in a room at your facility with controlled lighting and color targets.

Conservation-grade handling

Cotton gloves, dust-controlled prep, anti-static surfaces, and chain-of-custody documentation. Your conservators and registrars stay in the loop throughout.

Standards & metadata

FADGI, Metamorfoze, and ISO 19264 alignment; delivery in Dublin Core, Spectrum, EAD, MODS, or your CMS's export shape, with the color-verification report attached.

How large does a collection need to be to justify an onsite project?
There is no fixed floor — the deciding factor is usually whether the material can travel at all, not how much of it there is. A few hundred items that cannot leave a building is an onsite project; several thousand that can be crated safely is often cheaper to ship. Tell us what you hold and what constrains it, and we will tell you honestly which way is better for you.
Where in the world do you travel?
Anywhere a project justifies the trip. The lab is based in Denver and has deployed for collections that could not be moved; travel, freight, and per-diem are scoped into the quote up front rather than billed as surprises afterwards.
What do you need from our facility?
A room that can be dimmed and secured for the duration, standard power, and access to the material on an agreed schedule. We bring the capture system, lighting, color targets, and handling supplies. Rooms are surveyed before travel so nothing is discovered on day one.
Who handles the originals?
Our operators, working to conservation-grade handling protocol — cotton gloves, dust-controlled prep, anti-static surfaces — or your own conservators and registrars if your policy requires it. Chain-of-custody documentation is produced throughout, and your staff stay in the loop rather than being handed a report at the end.
Which imaging standards do you work to?
FADGI, Metamorfoze, and ISO 19264 alignment, calibrated to whichever your collection policy or grant requires. The target is agreed during scoping, not assumed, and the color-verification report is delivered with the files.
What format does the metadata arrive in?
Dublin Core, Spectrum, EAD, MODS, or your collection management system's own export shape — delivered ready to ingest rather than as something your team has to reshape.
How is an onsite project priced?
Per project. Scope, material types, standards alignment, travel, and duration all move the number, so there is no list price to quote honestly. Onsite work is billed against delivery milestones, with net-30 or net-60 terms available.
Is our material insured while you are working?
The originals never leave your premises, which is much of the point — custody stays with you. Bring us in early and we will work to whatever your insurer and conservation terms require, and document it.
